KYBN is designed for HR reporting workflows that may involve sensitive employee data. We process customer data only as needed to provide the requested product functionality.

Scope
This page is intended to describe how KYBN handles personal information in connection with the product. If California law applies to your use of KYBN, this page is also intended to support CCPA / CPRA-style disclosures about collection, use, disclosure, retention, and consumer rights.
Categories of Personal Information We Collect
- Identifiers and account information, such as login email, account role, and account plan status.
- Customer-uploaded HR and workforce data, which may include employee identifiers, work email, employment dates, department, function, location, compensation-related fields, and other data chosen by the customer for upload.
- Potentially sensitive personal information contained in uploaded files, to the extent customers choose to upload it, such as government identifiers, date of birth, personal contact details, address fields, compensation or financial-related fields, and similar HR data.
- Selected report setup, mapping, configuration, and run-context settings.
- Generated report files, support files, manifests, and related run metadata.
- Support tickets, replies, feedback submissions, and related account context.
- Operational, security, audit, and quota logs needed for service quality, integrity, and traceability.
Sources of Personal Information
- Directly from customers and authorized users when they create an account, contact us, or use support.
- From customer-uploaded HR files, employee lists, and reporting configurations.
- From product usage, system-generated logs, and security or operational monitoring.
How We Use Personal Information
- To generate customer-requested outputs, including PPT reports and related support files.
- To provide workspace features such as upload, validation, mapping review, report setup, and exports.
- To support reliability, quota enforcement, and abuse prevention.
- To troubleshoot customer issues when support is requested.
- To maintain security, auditability, and service integrity.
- To process deletion requests and related customer support workflows.
Sale or Sharing of Personal Information
KYBN does not sell personal information. KYBN does not share personal information with third parties for cross-context behavioral advertising.
Disclosure to Service Providers and Contractors
We may disclose personal information to service providers or contractors that help us operate KYBN, such as infrastructure hosting, storage, authentication, payment, alerting, email, and customer-support tooling, but only as needed to operate, secure, support, and improve the service for the customer.
Sensitive Personal Information
Because KYBN supports HR workflows, customer-uploaded files may contain sensitive personal information. We use sensitive personal information only as reasonably necessary to provide the requested product functionality, maintain the service, protect security, prevent misuse, and support customer-requested operations such as deletion or troubleshooting.
We do not use sensitive personal information to infer characteristics about consumers for advertising.
California Privacy Rights
- Right to know the categories and specific pieces of personal information collected about you.
- Right to know the sources, purposes, and categories of third parties involved in disclosure.
- Right to delete personal information, subject to legal and operational exceptions.
- Right to correct inaccurate personal information.
- Right to opt out of sale or sharing, although KYBN does not sell or share personal information as described above.
- Right to limit the use and disclosure of sensitive personal information, where applicable under law.
- Right not to receive discriminatory treatment for exercising applicable privacy rights.
If you are an employee of a business that uses KYBN, please direct your privacy inquiries to your employer or the organization that uploaded the data to KYBN. In many cases, that organization is the party best positioned to verify identity, evaluate the request, and instruct KYBN on the appropriate response.
How To Submit Privacy Requests
Customers may submit privacy or deletion requests through the support channel or the Contact page. Customers may request data deletion through the support channel. See Data Deletion for more information.
We may need to verify the identity and authority of the requester before completing a privacy request. Authorized agents may submit requests on behalf of a consumer where permitted by law and subject to verification.
Depending on the request and the customer relationship, some uploaded or generated data may also be governed by contract, legal obligations, security requirements, fraud prevention needs, or recordkeeping exceptions.
Retention
- Customer Data, such as uploaded files, generated outputs, and related workspace records, is retained according to product settings, operational needs, and deletion requests.
- Uploaded raw files and generated outputs may be manually deleted by the customer through product workflows or support-assisted deletion processes, subject to operational and legal constraints.
- Account, billing, and support records may be retained as needed to maintain service continuity, comply with legal obligations, and resolve disputes.
- Operational Logs, security logs, and audit logs are retained only as needed for service integrity, security, abuse prevention, and support traceability, with an internal target of up to 24 months unless a shorter or longer period is required.
We retain personal information for as long as reasonably necessary for the disclosed purposes, taking into account the nature of the data, the purpose of processing, security and abuse-prevention needs, customer instructions, and legal obligations.
Prior 12 Months
In the prior 12 months, KYBN has collected the categories of personal information described on this page in connection with account access, uploaded HR data, support, and service operations.
In the prior 12 months, KYBN has not sold personal information and has not shared personal information for cross-context behavioral advertising.
In the prior 12 months, KYBN may have disclosed the categories of personal information described on this page to service providers or contractors for hosting, storage, authentication, billing, alerting, email, support, and similar operational purposes.
